Office Manager & Sales Assistant

We are seeking a motivated and experienced colleague to manage and support our day-to-day office operations for our offices in Houston, Texas and Andover, Massachusetts. In this exciting position, you will be the interface to Finance and HR in our headquarters in Vienna, Austria (Europe). You will assist our internal Sales teams facilitating a smooth sales and tender process for our customers.  We are looking for a dependable person with a professional demeanor, excellent communication skills, and willingness to grow and learn professionally.

Your Tasks

  • Responsible for managing and supporting all day-to-day office operations (incl. facility vendor relationships, company phones, IT needs, office supplies and office space leases)
  • Administration of accounts payable/receivable (tracking of expenditures, obtaining approvals as well as tracking and processing invoices)
  • Support of yearly budgeting process
  • HR Administration support (schedule interviews, support Onboarding and Exit process for employees)
  • Support employee benefits processes (incl. enrollments, adaptions and answering employee questions)
  • Administrative Sales Assistance (assist Sales teams in preparing proposals and quotations)
  • Being the point of contact for customers, ensuring customer satisfaction by responding promptly to inquiries and complaints
  • Maintain detailed records of customer interactions and transaction by working within the company SAP CRM system
  • Coordinate with our headquarters in Vienna, Austria on sales support tasks and internal meeting scheduling
  • Manages and executes all travel logistics for the Houston, TX and Andover, MA teams

Your Profile

  • High school diploma, Bachelor’s degree or equivalent
  • 3+ years in an administrative position (e.g. management assistance, office management or similar)
  • 2+ years of experience in a sales assistance position as well as prior experience with SAP CRM would be a plus
  • Good skills with power point, MS Word, Excel, MS windows, and other small business tools
  • Good teamwork and communication skills
  • Flexible work schedule if necessary
  • High affinity to numbers, precise style of working
  • Great organizational skills with attention to detail and exceptional follow-through
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Due to industry technical data regulations, applicant must be a US citizen or US Permanent Resident
